VACANCY ANNOUNCEMENT
TAHA, an apex private sector member-based organization mandated to develop and promote horticultural value chain (flowers, fruits, vegetables, spices, herbs and horticultural seeds) in Tanzania, is seeking for a motivated and highly experienced individual to fill the position of Chief Technical Officer. TAHA’s goal is to improve the growth and competitiveness of the horticultural industry in the country for social and economic gains.
TAHA is seeking for a highly motivated and experienced Tanzanian to fill the position as described below.
Position: Executive Assistant to the CEO
Report to: HR and Administration Manager
Duty Station: Arusha
The Executive Assistant to the CEO shall be responsible for providing high-level executive and administrative support to the CEO, ensuring smooth and efficient day-to-day operations. The role demands discretion, professionalism, exceptional organizational skills, and the ability to handle multiple priorities in a fast-paced environment.
Scope of the work
1. Meetings and Logistics
• Prepare meeting agendas, minutes, reports, and presentation materials.
• Support in drafting official communication, speeches, and briefs.
• Coordinate CEO’s logistics for internal and external meetings, workshops, and events.
• Follow up on action items and ensure timely implementation of CEO directives.
• Screen and manage correspondence, emails, phone calls, and inquiries directed to the CEO.
2. Events Planning and Calendar Management
• Manage the CEO’s calendar, appointments, meetings, and travel arrangements.
• Support in planning and organizing events involving the CEO.
• Ensure timely scheduling and reminders of upcoming engagements.
3. Representation in Technical Meetings
• Represent the CEO in technical or preparatory meetings when delegated.
• Compile and share meeting summaries and ensure the CEO is briefed on relevant matters.
• Act as a liaison between the CEO and internal departments or external partners and stakeholders.
4. Office Upkeep and Management
• Order and manage office supplies and equipment for the CEO’s office.
• Organize and maintain executive files, records, and office systems.
• Oversee the maintenance of CEO’s office facilities and ensure a clean and professional environment.
• Coordinate with IT for any technical or maintenance issues in the CEO’s office.
• Perform any other duties as assigned by the supervisor
Qualifications and skills
Degree Level
- Bachelor’s degree in Business Administration, Office Management, Public Administration, or
a related field
Experience
• At least 3 years of experience supporting senior executives or in a similar role.
Other key Skills
• Strong organizational, planning, and multitasking skills.
• Excellent written and verbal communication skills.
• High level of integrity and discretion in handling confidential information.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital
collaboration tools.
• Ability to work under pressure and adapt to changing priorities
